SpotFlow: how we are reinventing radio and TV commercial production

From brief to finished spot, with no detours. With SpotFlow, TFA is taking the next big step in automating audio production. Clients submit their brief through a smart AI-powered interface, and their requests go almost directly to the people who actually make the commercial: our producers and sound engineers in the studio.

A craft that's all about speed and precision

If you've ever had a radio or TV commercial made, you know how much goes into those few seconds of audio. There has to be a script that captures the message perfectly. A voice has to be chosen that suits the brand and the target audience. There has to be music that sets the right mood, and in the end everything has to come together in a mix that holds up perfectly on radio, television, and online.

At the same time, the clock is always ticking. Campaigns are being planned on ever shorter notice, promotions change week by week, and advertisers want to be able to pivot quickly. Retailers and media agencies in particular work with tight deadlines and large volumes. That calls for a production process that is not only high in quality, but also lightning-fast and predictable.

We have years of experience producing audio for commercials. And it was precisely from that experience that the question arose: can this be done smarter?

The trigger: too many steps between client and studio

Our colleague Danny ter Weeme, who is at the origin of SpotFlow, noticed a pattern in our existing process. A client request went through several steps, with the project manager as the central link. That project manager gathered information about scripts, voices, and music, coordinated with the client, and then passed everything on to the studio.

"We've developed a process that allows us to significantly speed up the ordering and production of commercials," says Danny. "The main reason for this was the realization that, within the existing process, project managers were performing many tasks that weren't always necessary to achieve the end result."

It's a familiar problem in many creative production processes. Each intermediate step makes sense on its own, but added together they cause delays, extra handover moments, and a greater chance that nuances from the brief get lost along the way. What the client means is first interpreted by someone who then has to explain it again to the specialist who will make it.

The goal: connecting the client directly with the specialist

Our answer was not to make the existing process a little faster, but to set it up in a fundamentally different way.

"So our goal was to make the process smarter and more efficient," Danny explains. "Instead of a request first going through several steps and the project manager, we developed a way of working in which the client's request goes almost directly to the right people in the studio: our producers and sound engineers."

That's the core of SpotFlow. We make the distance between what the client wants and the people who make it happen as small as possible. No go-between, no repeated rounds of coordination, but a direct line from brief to production.

"This removes unnecessary intermediate steps from the process," says Danny. "The project manager no longer has to deal with things like scripts, voices, and music; instead, the specialists who are actually responsible for the production can get started on them right away."

Designed from the studio

A system that connects the client directly to the studio only works if the studio actually gets what it needs. That's why SpotFlow's interfaces weren't dreamed up behind a desk, but grew out of the day-to-day practice of audio production itself.

Our colleague Karim Abdelmessih is the driving force behind all of the system's interfaces. As a producer, he knows better than anyone what information is essential to make a commercial well, and which questions often only surface halfway through a traditional process. From that role, he defined what is needed to produce the audio: which choices the client has to make up front, which details make the difference between a quick production and endless rounds of corrections, and what a brief should look like so that a producer or sound engineer can get started on it right away.

That knowledge has been translated directly into SpotFlow's screens. Every step in the interface is designed to collect exactly the information the studio needs, without burdening the client with technical questions they don't need to answer. That makes SpotFlow a system built by the people who work with it every day, for the people who work with it every day.

How SpotFlow works

SpotFlow takes you in seven clear steps from first idea to finished commercial. Without creating an account, you immediately get a personal brief link, after which you enter your details, indicate what needs to be delivered, and answer a series of short, concrete questions about your product, your target audience, and what sets you apart from the competition.

Based on those answers, SpotFlow automatically puts together a complete script, which you can have regenerated or edit yourself, while a smart length meter shows whether the text fits within the chosen spot length. Next, we suggest suitable voices, and you choose from carefully curated music playlists, organized by mood. A final overview lists everything, so you can see exactly what we'll record and produce. Your progress is saved automatically throughout the entire process, so you can pause at any time and pick up where you left off later.

After you submit, your request doesn't disappear into a black box. You receive a confirmation with all the choices you made and can follow live on a personal status page which phase your commercial is in, from recording and editing to review and delivery. As soon as the first version is ready, you're notified automatically and can listen to the commercial, approve it with a single click, or indicate in a separate field what still needs to change.

On our end, everything comes together in one dashboard, where our team can see at a glance which briefs have come in, who they're assigned to, when they need to be on air, and what their current status is. That's exactly where the project manager's new role takes shape: no longer the go-between for client and studio, but the operator who keeps an eye on the flow and makes sure every production is delivered on time and as agreed.

The result: faster, simpler, and more direct

The benefits of SpotFlow show up on several levels.

For you as a client, it means a significantly shorter turnaround time. Where a request used to have to go through a series of steps, the job now lands in the studio almost immediately. That lets you respond faster to current developments, promotions, and campaign changes. At the same time, the result remains fully customized: every commercial is produced by experienced specialists, tailored to your specific needs.

"The client can see their wishes reflected directly in the production process, and as a result receives a fully customized commercial that matches their wishes within a very short time," says Danny.

For us, it means a more efficient process in which everyone can focus on what they do best. Our producers and sound engineers produce. Our project managers no longer have to act as intermediaries for creative decisions that belong in the studio.

"That way, we're making the process not only faster, but also simpler and more direct for both the client and our own organization," Danny sums up.

A logical next step in our course

SpotFlow doesn't stand on its own. It's part of a broader movement within TFA to further optimize and automate our processes.

Lennard Groot, owner of TFA, sees SpotFlow as a logical continuation of the path we set out on earlier. "This is the next step in optimizing TFA's processes," he says. "We're gaining an enormous amount of time in the process. It's a logical step that follows the path TFA has taken to further automate processes."

And it doesn't stop there. According to Lennard, we'll be rolling out more initiatives in the last quarter of this year that serve the same goal: working smarter, delivering faster, and keeping the quality of the end product front and center.

From project manager to operator

One of the most striking consequences of SpotFlow is the changing role of our project managers. Where they traditionally spent a lot of time gathering, passing on, and coordinating content-related information, their role is now shifting to that of operator.

"We're seeing the role of our project managers shift toward operators," says Lennard.

That shift doesn't mean the project manager becomes redundant, but that their added value lies somewhere else. Instead of dealing with scripts, voices, and music, the operator focuses on monitoring and managing the flow itself: making sure processes run smoothly, that planning and capacity line up, and that jobs are delivered on time and as agreed. It's a role that is better suited to an automated production process, in which systems take over the repetitive work and people focus on direction and quality.

It's a development visible in many sectors. Where technology takes over routine tasks, human work shifts toward oversight, decisions, and exceptions. We choose to shape that change deliberately rather than let it happen to us.

Advision Media as the first user

Advision Media is our first client to work with SpotFlow. That means the system is no longer an idea or an internal test, but a working solution in day-to-day practice.

"We're proud to be the first user of SpotFlow," says Rowin Woldhuis, senior data specialist at Advision Media. "We work with TFA every day, and SpotFlow is going to speed up that collaboration. Clients get to sit in the driver's seat of their own production. After a trial period, we're convinced of the added value of SpotFlow."

The experience we're gaining together with Advision Media forms the basis for the further rollout and development of the platform.

Rolling out to more clients

In the coming weeks, we expect to roll out SpotFlow further to other clients. For clients who launch new promotions and campaigns at a high frequency, a fast and predictable production process can make a big difference. The sooner a commercial is ready, the more nimbly an advertiser can respond to what's happening in the market.

With every new client that joins, our knowledge also grows about what works well, which briefs lead to the best results, and where the process can be refined even further.

The future of audio production

SpotFlow shows how technology and craftsmanship can strengthen each other. The AI and the interface, designed from the expertise of our producer Karim Abdelmessih, provide speed, structure, and clarity. In our studios, our producers and sound engineers deliver the creative and technical quality that makes a commercial work. One can't do without the other.
